Tasks, phases and a calendar that agree with each other

Every task carries a work window and a deliverable date. Phases take their dates from their tasks — so the Gantt, the calendar and the list are always the same plan, never three plans.

  • Three-date tasks. When you'll work on it, and when it's actually due — because those are different things.
  • Drag the phase, move the plan. Slide a Gantt bar and every task in it shifts with it, subtasks included.
  • Templates with offsets. Plans are stored in days-before-the-event. Give one a date and the whole thing dates itself.
  • Task detail that works. Subtasks, named roles, kit checklists, artwork versions, threads and logged hours.

Quotes come in, get compared, and the winner mirrors its lines straight into your costs — read-only, so the numbers can't drift. Your markup sits on every line. What you send the client is a proper quotation, built from the same data.

  • Confidence built in. Confirmed vs estimated flows through committed, spent, billable and the forecast bar.
  • A rate-carded library. Your kit, crew and services — tick lines, set days, and push a priced quote into any project.
  • Client quotations. Ref'd, sent to the portal, filed in Docs; accepting one sets the client budget.
  • Multi-currency. A London quote in a New York project converts at your rates, and says so.

Anchor doors at 14:00 and let soundcheck flow. Each row type carries its own details — dock bookings on logistics, dietaries on catering, mics on sessions — so the answer is on the row, not in someone's inbox.

  • Anchored times. Fixed points hold; everything between them re-flows when the day slips.
  • Rooms. #show-day, #av-crew, #logistics — short, factual, next to the plan. Shared to crew only when you say so.
  • Threads that mirror. A note on a row lands in the project feed with its context attached.

Everyone gets their own version of the truth

Clients, vendors and contacts live in the workspace with their history attached. On each project you decide who's on it, what they can see, and which of it reaches the two portals.

  • Roles that layer. Workspace roles, project roles, and named-only restrictions — "who can see the budget" is a setting, not a hope.
  • The client portal. Approvals, schedule, documents and messages — with a "Needs you" tab that empties itself.
  • The crew portal. Call times, their jobs, their rooms — one sign-in across every project they're on.
  • Vendors with memory. Rate cards, quotes won, and every call logged where the next producer will find it.

Pin a task, a budget figure, a room, a whole project — it becomes a live widget on your Home, next to your own to-dos and diary. One calendar merges the lot.

  • Live widgets. A pinned budget figure updates itself; a pinned room is a chat you can answer from Home.
  • Team pins. See who else has their pin in the same thing.
  • Everything respects access. If you can't see the budget tab, you can't pin your way into it.
